Privacy Policy

This policy explains what personal information ScentByOmis collects, why we collect it, who we share it with, how long we keep it, and how you can exercise your privacy rights.
1. Who We Are
ScentByOmis sells perfumes and fragrances and operates the Perfume Bar consultation service. We serve customers in Canada and Nigeria, and we are the party responsible for the personal information described in this policy (the “data controller”).

2. What We Collect, and Why
We collect only what a given feature needs. If you never use a feature, we do not collect the information beside it.
2.1 Account and sign-in
Your name, email address and a securely hashed password. We never store your password in a readable form. We also keep sign-in session tokens so you stay logged in, and records of email verification and password-reset requests so we can protect the account.
2.2 Orders and payment
Billing and delivery address, phone number, the items ordered, order totals, currency, and the order’s status and history.
We do not store your card details. Card and bank information is entered directly with our payment processors (Stripe for Canadian card payments, Paystack for Nigerian payments) and handled by them. We receive only a payment reference, the outcome, and the last digits and card brand needed to identify a transaction.
2.3 Cart and wishlist
Items you add are stored against your account when you are signed in, and in your browser when you are not, so your selections survive a page refresh.
2.4 Newsletter
If you subscribe, we store your email address and the date you subscribed. We use it only to send you ScentByOmis updates and offers. Every email carries an unsubscribe link, and you can also ask us to remove you at any time using the contact details above.
2.5 Contact enquiries and uploads
When you use the contact form we store your name, email, phone number if you give one, your message, and any file or image you attach. Attachments are stored with our file-hosting provider. Please do not upload identity documents, payment details or other sensitive information through this form — it is not the right channel for them.
2.6 Perfume Bar reservations
Your name, email, phone number, event date, venue and location, guest count, and the fragrance preferences you select. We use this to quote, confirm and deliver the booking.
2.7 Reviews
Your rating, review text, the display name you choose and the product reviewed. Reviews are public on the site; please do not include information in them you would not want shown publicly.
2.8 Technical and usage data
Standard web-server information such as IP address, browser type, pages visited and referring page, together with aggregate analytics about how the site is used. We use this to keep the site working, detect abuse, and understand which pages are useful.
3. Our Basis for Using It
- To perform our contract with you — processing orders, taking payment, arranging delivery, and managing Perfume Bar bookings.
- With your consent — the newsletter, and any non-essential cookies. You can withdraw consent at any time.
- Our legitimate business interests — securing accounts, preventing fraud and chargeback abuse, and improving the site, balanced against your privacy.
- Legal obligation — keeping transaction and tax records for the period the law requires.
6. How Long We Keep It
- Order and payment records — kept for as long as tax and accounting law requires after the order.
- Account details — kept while your account is open, and deleted on request unless we must keep part of it against a transaction record.
- Newsletter subscription — kept until you unsubscribe.
- Contact enquiries and uploads — kept while we deal with your enquiry and for a reasonable period afterwards.
- Perfume Bar reservations — kept for the event and the period needed for follow-up and accounting.
- Analytics — kept in aggregate form only.
7. How We Protect It
The site is served over HTTPS, passwords are stored hashed, sign-in uses expiring tokens, and administrative areas are restricted to authorised staff. Payment details go directly to our processors and do not pass through our own storage.
No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and the relevant authority as required by law.
8. Your Rights
You may ask us to:
- Tell you what personal information we hold about you, and give you a copy
- Correct anything that is inaccurate or out of date
- Delete your information, where we are not required to keep it
- Stop sending you marketing email
- Withdraw a consent you previously gave
- Object to, or ask us to restrict, a particular use
Email scentbyomis@gmail.com with the subject line “Privacy Request”. We will respond within 30 days. We may need to verify your identity first, so that we do not disclose your information to someone else.
Canada: if you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada. Nigeria: you may complain to the Nigeria Data Protection Commission.
9. Children
The site is intended for adults. We do not knowingly collect personal information from children under 16. If you believe a child has given us their information, contact us and we will delete it.
10. Changes to This Policy
We may update this policy. The current version is always posted here with the date it was last updated. If we make a significant change to how we use your information, we will tell you directly.
